These Terms and Conditions (“Terms”) govern enrollment, participation, and engagement with PlayVolution Academy (“we”, “our”, “us”). By registering your child for any of our programs or using our services, you agree to abide by the policies outlined below. These Terms ensure the safety, well-being, and smooth operation of our learning environment.
1. Enrollment & Registration
Registration must be completed in advance for all programs, including Play Zones, SEA Support Classes, Consultations, Day Passes, and Night Passes. Parents or guardians must submit all required documents within three (3) days of receiving the enrollment package. Incomplete packages cannot be accepted.
Enrollment is confirmed only when all forms are completed and the applicable fees are paid.
2. Fees, Payments & Billing
Tuition fees and service fees must be paid before the start of each month or before the child participates in any scheduled session.
- Payments are due between the 1st and 5th of each month.
- A 10% daily late fee applies from the 6th day onward.
- Fees must be paid upfront for monthly participation.
- If paying for SEA classes, monthly payments must also be made upfront.
- We do not offer payment plans.
- No sibling discounts are applied.
- All fees cover program activities related to the child’s development.
Accepted payment methods include LINX, online banking, and cash (where applicable). A receipt is issued for every transaction.
3. Refunds & Absences
Refunds are not available for:
- Illness
- Absences
- Scheduled holidays
- Missed days for any reason
Fees cover the child’s reserved space, staffing, and program operations regardless of attendance.
Day Pass and Night Pass bookings are non-refundable once scheduled.
A separate Refund & Payment Policy may provide additional detail.
4. Day Pass & Night Pass Terms
Day Passes (7:00 AM–7:00 PM) and Night Passes must be scheduled in advance.
We do not accept walk-ins or unscheduled drop-offs.
Parents must adhere to the scheduled time slots. Additional hours will incur additional fees.
All standard health, safety, and conduct policies apply to Day and Night Pass users.
5. Attendance & Punctuality
Timely arrival and pick-up ensure smooth daily routines. If a parent anticipates delay, they must notify the school immediately.
Repeated late pick-ups may result in additional fees or discontinuation of services.
6. Illness & Health Policy
Children exhibiting symptoms of illness, such as fever, vomiting, diarrhea, persistent cough, rash, or any contagious condition, are not permitted on the premises.
This rule protects all children and staff.
If a child becomes ill during the day, a parent or guardian must pick them up immediately.
Refunds are not issued for absences due to illness, and we do not provide makeup sessions.
Health-related information is kept confidential and shared only with authorized personnel.
7. Safety & Supervision
We maintain strict safety protocols, including:
- Childproof plugs and furniture
- A secure childproof perimeter fence
- Daily sanitizing and weekend deep cleaning
- Regular inspection of toys and materials for damage or wear
Parents must inform the academy of any special medical or developmental needs.
Failure to disclose relevant information may affect the child’s safety and eligibility for enrollment.
8. Parent Responsibilities
Parents agree to:
- Provide accurate and complete information during registration
- Update contact details as needed
- Supply nutritious meals if opting out of meal packages
- Communicate clearly with staff regarding concerns or special instructions
- Prepare their child emotionally and verbally for participation in school routines
- Respect all safety, illness, and operational policies
Consistent communication is encouraged to support each child’s development.
9. School Responsibilities
Playvolution Academy is committed to:
- Providing a safe, clean, and nurturing environment
- Delivering age-appropriate educational programs
- Maintaining qualified staff trained in early childhood education
- Communicating daily updates and monthly program evaluations
- Supporting emotional regulation through responsive caregiving
- Offering individual and group attention, including for SEA classes
10. Communications
Parents may be contacted through:
- Phone calls
- Website notifications
These channels are reserved for essential updates, safety notices, and operational matters.
Parents must ensure contact details remain accurate and accessible.
11. Photos & Media Consent
Photographs and videos are taken only with prior written consent from parents or guardians.
Media may be used for:
- Classroom documentation
- Progress reporting
- Internal displays
- Promotional materials (only if explicitly allowed)
Consent may be withdrawn at any time.
12. SEA Support Class Terms
SEA classes take place Saturdays only, from 10:00 AM to 4:30 PM.
Each session includes instruction in Reading, Spelling, Language Arts, Mathematics, Creative Writing, and fine motor skills development.
- Attendance is expected for all scheduled class days.
- Fees must be paid upfront for the month if choosing monthly payment.
- LINX is available on-site.
- Standards 1–5 students are eligible.
- Registration must be completed in advance.
13. Termination of Services
We reserve the right to discontinue services if:
- Fees are repeatedly unpaid or consistently late
- A parent fails to comply with safety or illness policies
- Behavioural concerns pose a risk to staff or other children
- Incomplete or inaccurate information affects the child’s care or safety
Parents may withdraw their child at any time; however, refunds are not issued for unused days or prepaid fees.
14. Changes to Terms
We may update these Terms periodically to reflect changes in operations, legal requirements, or services offered. Updates will be posted on this page with the “Last Updated” date revised accordingly. Continued use of our services constitutes acceptance of updated Terms.
